Receiving Electronic Invoices

ManagerCloud is aimed at sole traders and small businesses who have their accounting done by a tax advisor. Since the beginning of 2025, companies of all sizes – including sole traders – must be able to receive and process e-invoices electronically. Large companies will be required to send their invoices as e-invoices from 2027, and small businesses from 2028.

With ManagerCloud, you can digitize your financial processes today and be fully prepared. What's more, the system fulfills the legal requirements for audit-proof document archiving (GoBD) in the background – fully automatically, without you having to take any additional action. This is how the workflow in digital invoice processing works:

Receiving

Paper invoices will be a thing of the past by 2027 at the latest. In future, you will receive your e-invoices by email, as a download from your business partner's portal, or via Peppol – an EU-operated network for the secure exchange of electronic documents. In the long term, Peppol will become the standard for the exchange of e-invoices in Europe. The e-invoice can arrive in various formats, e.g., as an XRechnung (XML format) or ZUGFeRD invoice (PDF with embedded XML data).

Upload

After uploading, ManagerCloud automatically reads all relevant invoice data, creates an entry in cost management and archives the original in accordance with GoBD and unalterable in an S3 storage from AWS (Amazon Web Services). Optionally, you can assign the invoice to a profit center, either in full or in part. If you upload a normal PDF invoice without embedded XRechnung, ManagerCloud will recognize this and present you with a form in which you can enter the invoice data manually.

Check and forward

ManagerCloud presents the extracted invoice data in a form for you to check, so that you can correct the data before saving it. That's it – no more scanning and manual data entry. You can download the original document again at any time with a single click. In the Business Analysis (BWA) area, after selecting the year and month, you can forward all sent and received invoices for the selected month to your tax advisor with a single click.


Create and Send Electronic Invoices

Large companies will have to create and send their invoices electronically by 2027, and small businesses by 2028. With ManagerCloud, you can do this today. This brings us to revenue management of ManagerCloud. Your sales figures form the data basis for creating invoices. This is how the workflow works:

Create

Select Customer, Contact, Billing Address as well as the Service Period and Invoice Date. For statistical purposes and for the BWA, assign the sales to a sales category. Then enter the individual items. Enter the service description, quantity, and price or base and percentage as well as the sales tax rate for each item.

Check

To check it, download the completed e-invoice in PDF format. To ensure that the xRechnung (XML format) hidden within it matches the data visible in the PDF, you can open and check the e-invoice with an xRechnung viewer. Optionally, you can assign the sales to a profit center, either in full or in part.

Close and forward

Complete the invoice. Once completed, the e-invoice can no longer be changed. Upon completion, ManagerCloud automatically archives the e-invoice in accordance with GoBD (unmodifiable in the original) in an S3 storage from AWS (Amazon Web Services). Finally, forward the e-invoice to your customer via email or Poppol

Automatic GoBD compliance

Everything you create or upload in ManagerCloud—invoices, credit notes, or entertainment receipts—is automatically archived exactly as required by law: unalterable, audit-proof, and tamper-proof. Documents subject to GoBD regulations may not be modified retrospectively. However, new versions are permitted – provided that there is complete documentation of who created and archived which version and when. ManagerCloud does exactly that for you automatically. When a document is re-versioned, the system logs the time, author, and version of the change in an audit-proof manner. This means that the creation of each document remains fully traceable at all times – exactly as required by the GoBD.

As soon as a sales, credit note, or cost item is created or modified in ManagerCloud, the system automatically logs who made the creation or modification and when—as required by GoBD in terms of traceability.

Because emails with tax-relevant content must be listed in the transaction file according to GoBD, automatic email archiving is part of our audit trail. Every outgoing email is stored in the email log without your intervention.
